1. Data we collect

Account data: your name, work email, firm name, role and sign-in details. Passwords are handled by our authentication provider and never stored by Batesly.

Client Data: the matters, contacts, tasks, calendar events, documents, time entries, invoices, trust records and payments your firm enters or uploads.

Usage and security data: IP address, browser type, and an audit record of actions taken in your firm's account, used to secure the service and to give your firm an accountable history.

2. How we use it

We use this data to provide and support the service, to authenticate users, to bill your firm's subscription, to send transactional emails such as invitations and password-reset codes, and to detect and prevent abuse.

We do not sell personal data, and we do not use Client Data to advertise to you or to train general-purpose AI models.

3. Sub-processors

Clerk: user authentication and session management.

Stripe: subscription billing and saved payment methods for your firm's Batesly subscription.

Confido: processing client payments that your firm collects through Batesly.

Amazon Web Services (Amazon Bedrock): powering the optional document assistant when a user invokes it.

Railway: hosting the Batesly application, its database, and uploaded-document storage.

Cloudflare: DNS and the network proxy in front of the Batesly service.

Resend: sending transactional emails such as invitations and password-reset codes.

Google: optional "Sign in with Google" and, where a user connects it, Google Calendar sync.

4. Retention

We keep account and Client Data for as long as your firm's account is active. When a firm closes its account, member access ends immediately; matter, trust-accounting, billing and audit records are retained, because trust-accounting and billing rules require them to be kept. To request an export or the deletion of retained data, contact [email protected].

Audit records are append-only and kept for the life of the firm's records, including after closure, so that your firm's history stays complete.

5. Your rights

Depending on where you live, you may have the right to access, correct, export or delete your personal data, or to object to certain processing. Where Batesly holds data on behalf of a firm, we will direct the request to that firm and help it respond.
